Subject: ACTION: Update Invoice Address
You recently received a communication from us on this topic, but we are aware that this may have caused confusion. This message should make the action clearer but please do contact us on the number below if you are unsure how to make this change.

NHS Shared Business Services manages accounts payable services on behalf of a number of NHS Organisations and we are writing to let you know that you may need to change the address details you hold for invoicing, depending on your current invoicing method:

  • If you currently invoice directly to an NHS Organisation, then no changes need to be made.
  • If you currently use Tradeshift to invoice, then no changes will need to be made.

However, if you currently invoice to Phoenix House, Topcliffe LaneWF3 1WE then we request that you update your records with the invoice address below as soon as possible. If you currently email your PDF copy invoices to sbs.apinvoicing@nhs.net, the address will still need to be updated.

Please replace Phoenix House, Topcliffe Lane, WF3 1WE with the following, where XXX represents the organisational code of the NHS body, and Z123 represents the four-digit payables code associated with that account.

XXX payables Z123  (this should be the code for the individual organisation and account)
PO Box 312
LEEDS
LS11 1HP

The organisation and payables code you use should remain unchanged for each NHS body. If you have changed the organisation and payables code in any instance, please revert back immediately otherwise you may experience a delay in invoice payment.

If you are unsure which NHS Organisations this change applies to, we have included a list – view the list of NHS Organisations here.

All invoices issued must comply with our Good Invoicing Practice Guide to enable prompt payment.

Any items delivered to Phoenix House, Topcliffe Lane, will be redirected to the PO Box address for the next six months. After this point, they will be returned to sender.

If you are a Purchase Order (PO) supplier, you may have noticed the ‘invoice to’ or ‘bill to’ address has also changed.  This was because a system change was made on 28 January, prior to this communication being issued.

You can find a list of FAQs here. We have included letterheaded confirmation here.

If you have any questions, you can call us on 0330 122 7831.

Kind regards,

NHS Shared Business Services
